12.01.0 Information Technology Services
Overview
Information Technology consists of computers and other devices attached to and using University resources, its networks, and the applications they support, such as electronic mail and access to the World Wide Web. These technologies are critical to the mission of the department.
The purpose of this policy is to set guidelines so that staff members may use the department and campus network and computing facilities in ways that are responsible, respectful and in accordance with the mission statement of the University and the department. This policy applies to all users of the Department of Intercollegiate Athletics, The Frank E. Erwin jr. Special Events Center and Texas Box Office computing systems.
The Department of Intercollegiate Athletics and the Frank C. Erwin Jr. Center Information Technology Policy serves as a supplement to:
- The U.T. System Information Resources use and Security Policy (UTS 165)
- The U.T. Austin Information Resources Use and Security Policy
- The U.T. Austin Responsible Use of Information Technology Policy

Computer Equipment Removal / RelocationComputer equipment taken from the office requires the filling out of Equipment Checkout Form. Relocation of equipment that requires disconnecting power or Ethernet cables from the wall should be made only by or under the direct supervision of department Computer Services personnel to insure inventory records are maintained.
Software InstallationOnly properly licensed, authorized software is to be installed on systems belonging to the Department of Intercollegiate Athletics, The Frank C. Erwin Jr. Special Events Center and Texas Box Office. Installation must be made only by or under the direct supervision of department Computer Services personnel. Users may not download, install, or otherwise add software onto Department equipment. Unauthorized software will be immediately removed. Users are not authorized to modify operating system software.
User AgreementUsers are expected to read, understand, and comply with the terms of the agreement (Network Login Form) signed when obtaining a computer account and any subsequent modifications to that account.
Staff DeparturesAfter a user has left Department of Intercollegiate Athletics, The Frank C. Erwin Jr. Special Events Center or Texas Box Office, a completed IT Staff Departure form is necessary.
Computer Hardware PurchasingThe procedure set forth by Department of Intercollegiate Athletics, The Frank C. Erwin Jr. Special Events Center and Texas Box Office to purchase a new computer requires technical approval (that the computer is compatible with existing UT & Athletics requirements & network), Supervisor approval, Sport or Support program approval, Financial approval and Athletics Director approval. Athletics or Erwin Center Computer Services will provide an approval form and also purchase the hardware.
Computer Software PurchasingAll computer software must be approved and purchased by Computer Services.
Backup and Retrieval PolicyThe Department of Intercollegiate Athletics Computer Services will be responsible for all files and email stored on department servers. Email will be backed up nightly and tapes will be reused every three days. All files and email stored in other locations will be the responsibility of each individual user.
